1. Scope of Engagement
Bhardwaj Photo Studio provides professional photography and 4K cinematography services for weddings, pre-wedding sessions, family milestone galas, birthdays, and studio portraiture. The specific deliverables, team headcount, and hours of coverage are outlined in the customized booking quote provided to you prior to reservation.
2. Booking Confirmation and Retainer Deposit
- To secure and hold dates in our production calendar, an advance retainer deposit of 25% of the total agreed package amount is required.
- Dates are booked on a first-come, first-served basis and are not reserved without receipt of the deposit.
- The retainer deposit guarantees crew allocation, gear reservation, and date blocking.
3. Payment Schedule
Standard payment milestones for wedding and multi-day packages are structured as follows:
- Booking Advance: 25% upon contract confirmation to secure dates.
- Event Day Payment: 50% payable on the primary event day or the concluding day of coverage.
- Final Delivery: Remaining 25% balance payable prior to the handover of master high-resolution digital files, hard drives, or shipment of printed albums.
Payment methods accepted include Bank Transfer (NEFT, IMPS), UPI, or direct cash receipt with official studio documentation.
4. Delivery Timelines and Milestones
Quality post-production and color grading require dedicated craftsmanship. Our standard delivery schedule is:
- Initial Previews: A curated selection of 40 to 60 teaser photographs delivered within 7 to 10 days of your event.
- Full Photograph Catalog: Color corrected high-resolution images delivered via secure digital link within 3 to 4 weeks.
- Cinematic Wedding Teaser: A 3 to 5 minute 4K cinematic trailer delivered within 4 to 6 weeks.
- Full Feature Film: Complete wedding documentary film (60 to 120 minutes) delivered within 8 to 12 weeks.
- Printed Heirloom Albums: Physical delivery within 3 to 4 weeks following client photo selection and album spread proof approval.
5. Client Proofing and Album Selection
Clients are requested to select their chosen photographs for album printing within 60 days of digital photo catalog delivery. If client selections are delayed beyond 90 days, album production will be scheduled based on prevailing lab availability.
6. Cancellation and Date Rescheduling
- Cancellation by Client: Because dates are blocked exclusively and other potential client inquiries are turned away, the 25% booking retainer is non-refundable.
- Rescheduling: If an event is postponed, the studio will make every reasonable effort to accommodate the new date subject to crew and equipment availability. Notice of at least 21 days is required for date changes without additional administrative charges.
- Cancellation by Studio: In the rare and extraordinary event that the studio cannot fulfill the assignment due to extreme medical emergency or severe disaster, our liability is strictly limited to an immediate full refund of all amounts received for that event, or arranging an accredited associate crew with client approval.
7. Shoot Logistics and Access
- Clients are responsible for securing necessary photography permissions, venue permits, and drone clearance at private or commercial locations.
- For shoots exceeding 6 hours, adequate meals and basic refreshments must be provided to the attending crew members.
- The client must provide an accurate, final itinerary of the ceremony at least 48 hours in advance so our cinematographers can plan lens choices, audio lavalier placements, and camera angles.
8. Raw Footage and Archiving
Raw camera video files (ProRes or sensor logs) and unedited RAW photo files can be provided on a dedicated client-supplied external hard drive upon request, subject to package terms. The studio archives master edits and deliverables for at least 90 days post-delivery. Clients are advised to maintain duplicate backups immediately upon receipt.
9. Copyright and Usage Rights
- Ownership: Under the Indian Copyright Act, 1957, all intellectual property rights and original master captures remain with Bhardwaj Photo Studio.
- Client License: Upon complete payment of the contracted fee, clients receive a perpetual, non-exclusive, worldwide personal license to print, duplicate, share, and post their photographs and films for personal, non-commercial use.
- Studio Portfolio: The studio reserves the right to exhibit selected photographs and teaser clips for professional portfolio, website gallery, and social media showcase purposes. If the client requires private coverage with zero online posting, a formal confidentiality opt-out can be requested in writing at booking time.
10. Reverse Engineering and Digital Asset Protection
All software code, visual photography assets, color grading algorithms, design architecture, and compilation methods of Bhardwaj Photo Studio and Production are proprietary intellectual property protected under the Indian Copyright Act, 1957, and the Information Technology Act, 2000. Visitors, competitors, and third parties are strictly prohibited from:
- Decompiling, disassembling, or reverse engineering any scripts, code, or stylesheets used on this website.
- Using automated scrapers, data extraction bots, or harvest tools to capture our visual portfolios or client catalogs.
- Re-hosting, framing, or commercially utilizing any portion of our website assets without prior written consent.
11. Limitation of Liability and Force Majeure
The studio maintains rigorous backup equipment and high-speed multi-slot card recording to protect against technological failure. However, the studio cannot be held liable for coverage losses caused by extreme weather, venue lighting power cuts, uncooperative venue security, or force majeure events beyond human control. Total studio liability shall in no circumstance exceed the total fee paid for the relevant service.
11. Jurisdiction and Dispute Resolution
These terms are governed exclusively by the laws of India. Any disputes arising under or related to this agreement shall be subject to the exclusive jurisdiction of the competent courts in Ghaziabad, Uttar Pradesh.
